How We Gave a New Distributor Controlled Access to Product Training in Moodle

When organisations use Moodle for customer, partner or distributor training, a common challenge eventually appears:

How do you give a specific group of external users access to exactly the training they need—without manually enrolling every person into every course?

We recently worked through this scenario with a component manufacturing client. The company already had an online learning platform containing product training for its wider network. A new distributor was coming onboard, and initially they wanted to give approximately 10 people from the distributor access to selected product courses.

It was a relatively small group. But we didn’t want to solve it in a way that would create more administrative work every time another distributor – or another 50 users – needed access.

Instead, we used Moodle’s existing profile, cohort and enrolment capabilities to create a simple structure that could scale.

The Business Requirement

The initial requirement sounded straightforward:

“We have a new distributor and would like around 10 of their users to test our online product training.”

However, there were a few things we needed to consider.

The distributor’s users shouldn’t automatically receive access to every course available on the platform. The client also wanted an easy way to identify which learners belonged to this distributor.

And, importantly, if more employees from the same distributor were added later, the LMS administrators shouldn’t have to repeatedly visit several courses and enrol each learner individually.

So rather than treating these 10 learners as individual users, we treated them as a defined audience within Moodle.

Step 1: Identifying the Distributor Through a Custom Profile Field

We started by using a custom user profile field to identify the organisation or distributor associated with each learner.

For example, a field could be created called: Distributor

The relevant users could then have the new distributor selected or entered against their Moodle profile. This seems like a small change, but it creates a much cleaner way of organising external learners.

Instead of the LMS only knowing: “This is John Smith.” It can now also know: “John Smith belongs to Distributor A.”

That information can then be used to automate other actions within Moodle.

Step 2: Automatically Adding the Users to a Cohort

Next, we created a dedicated Moodle cohort for the distributor.

For example: Distributor A – Product Training

Using the value stored in the custom profile field, users belonging to that distributor could be automatically associated with the appropriate cohort.

The result is a logical group of learners that can be managed centrally. Instead of thinking about 10 separate accounts, the LMS administrator can simply manage the Distributor A cohort.

This becomes particularly useful as the relationship grows. Today there might be 10 learners. Later there could be 30, 100 or several hundred. The underlying structure doesn’t need to change.

Step 3: Connecting the Cohort to the Required Courses

Once the cohort was available, we used Moodle’s Cohort sync enrolment method in the courses the distributor needed to access.

Rather than enrolling each of the 10 users into Course A, Course B and Course C individually, we connected the distributor’s cohort to those courses.

The structure looked something like this: Custom Profile Field → Distributor Cohort → Approved Product Courses

This meant that membership of the cohort effectively determined access to the relevant training. If another eligible user was added to the distributor cohort, Moodle could enrol that person into the connected courses automatically.

That removes a surprisingly common LMS administration task.

Why Not Just Manually Enrol the 10 Users?

Technically, we could have done that and finished the task. For a group of only 10 people, manually enrolling everyone would probably have taken less time than designing the structure. But that’s solving today’s task rather than tomorrow’s problem.

Imagine the manufacturer eventually works with:

• 20 distributors
• 50 learners per distributor
• 15 different product training courses

Suddenly, LMS administrators are dealing with potentially thousands of individual enrolment relationships. Every new employee, distributor or course creates another administrative task. Using cohorts changes the model.

Instead of managing individual learner → course relationships, you start managing audience → training relationships. That’s considerably easier to maintain.

It Also Creates Opportunities Beyond Enrolment

There is another reason we like using profile information and cohorts for scenarios like this. Once Moodle understands which organisation a learner belongs to, that information can potentially support much more than course enrolment.

For example, the manufacturer could eventually create separate cohorts for different distributors, product families, regions or partner levels.

That structure could support targeted training programmes, reporting, certifications and different learning journeys for different audiences.

You could have:

• Distributor A → Product Range A training
• Distributor B → Product Range B training
• Premium Partners → Advanced technical certification
• New Distributors → Partner onboarding programme

The LMS starts becoming more than a collection of courses. It becomes a platform capable of delivering the right learning experience to different audiences.

The Outcome

For this client, the immediate result was simple. Approximately 10 users from the new distributor could access the required product training without giving them unnecessary access to other learning content.

But the more valuable outcome was the structure created behind the scenes. The client now has a model that can be repeated as additional distributors and learners are onboarded.

Instead of asking: “Which courses should we manually enrol this person into?” the organisation can increasingly move towards asking: “Which audience does this learner belong to?”

Moodle LMS can take care of much of what happens next.

A Small Moodle Configuration Can Solve a Bigger Business Problem

This is one of the things I enjoy most about working with Moodle. Not every LMS improvement requires a custom plugin or a large development project.

Sometimes the right combination of existing Moodle capabilities – such as custom profile fields, cohorts and cohort sync enrolment – can solve a real operational problem elegantly.

The important part is designing the LMS around how the organisation actually works. For manufacturers, this can be particularly powerful.

The same approach can be used to provide structured product and technical training to:

• Distributors
• Dealers
• Resellers
• Service partners
• Installers
• Contractors
• Customers

As the partner network grows, Moodle can grow with it without creating the same growth in manual LMS administration.
