Most organisations know that their Learning Management System should be backed up. But the more important question, however, is often overlooked:

How much employee work could the organisation lose if the LMS has to be restored from its latest backup?

This is where backup frequency becomes a business issue rather than simply a technical setting.

A statement such as “our LMS is backed up every day” may sound reassuring. But if the backup is taken at 2:00 a.m. and a serious system problem occurs at 4:00 p.m., restoring that backup could mean losing everything recorded in the LMS during the previous fourteen hours.

That may include course completions, assessment attempts, quiz responses, uploaded assignments, certificates, forum activity, enrolment changes and other learner records.

The LMS itself may be successfully restored. The work completed by users during those fourteen hours may not be.

The Real Cost Is Employee Time

When organisations think about data loss, they naturally think about servers, databases and technical recovery. For an LMS, however, one of the largest hidden costs can be the time already invested by employees.

Consider a relatively ordinary training day.

Suppose 300 employees complete a 45-minute mandatory course during the morning. Together, they have spent approximately 225 employee hours completing that training.

Now, imagine that an LMS problem occurs later that afternoon and the system needs to be restored to the previous night’s backup.

If those course completion records were created after the backup, the LMS may no longer show that the employees completed the training.

The organisation then has a difficult problem. It may have no reliable evidence of completion, even though employees genuinely completed the course. In some situations, the only practical solution may be to ask employees to complete the training again.

That means another 225 employee hours being consumed simply to recreate records that previously existed. At an average employment cost of $30 per hour, those 225 hours represent approximately $6,750 of employee time. And that is only one course on one day.

For a larger organisation running multiple training programmes, assessments and certification activities, the potential cost can grow very quickly.

A Daily Backup Can Still Mean Losing a Full Working Day

The phrase “daily backup” can therefore create a false sense of security. A daily backup does not necessarily mean that only a small amount of information can be lost. Depending on when the backup runs and when a problem occurs, almost an entire day’s learning activity could disappear.

Imagine an LMS backup running every night at midnight. Throughout the following day, hundreds of users may be completing courses, taking assessments and updating their training records.

The important question for management is therefore not simply whether a backup exists. It is:

How many hours of user activity are potentially sitting between the current LMS and the most recent recoverable backup?

Some LMS Data Cannot Easily Be Recreated

Not all information stored in an LMS has the same value. If a PDF course resource disappears, the organisation may still have the original file somewhere else. The same may be true for a video, presentation or training manual.

But learner activity is different. An assessment attempt may exist only inside the LMS. A course completion timestamp may exist only inside the LMS. An instructor’s grading information, learner submission or certification record may also exist only inside the platform.

Once this information disappears, recreating it may be difficult. An employee might remember completing a course, but that does not necessarily provide the organisation with the evidence it needs.

This becomes particularly important where the LMS supports compliance, professional certification, safety training, onboarding or mandatory organisational training.

A lost completion record is not simply a missing database entry. It can represent lost evidence that an employee fulfilled an organisational requirement.

Assessment Time Makes the Problem Even More Serious

The same issue applies to assessments. Imagine 100 employees completing a 60-minute online assessment during the day. That represents another 100 employee hours being invested in the LMS.

If a system problem requires recovery from a backup taken before those attempts occurred, some or all of that work may need to be repeated. There is also an employee experience issue.

Someone who spends an hour carefully completing an assessment and is then told that the organisation lost the record is unlikely to see it as merely an IT problem. From the employee’s point of view, the organisation lost an hour of their work.

When this happens across dozens or hundreds of employees, frustration can spread quickly and confidence in the learning platform can fall.

Policy Makers Should Think in Hours of Work, Not Gigabytes of Data

This is where LMS backup discussions need to move beyond the IT department.

Technical teams naturally think about databases, infrastructure, storage and backup jobs. Decision makers should look at the same issue through a different lens:

How many employee hours are we prepared to lose?

For example, imagine an organisation with 1,000 employees where 200 people meaningfully use the LMS on an average working day. If each employee spends an average of 40 minutes completing training, assessments or other learning activities, that represents approximately 133 employee hours every day.

At an average employment cost of $40 per hour, more than $5,000 worth of employee time may be passing through the LMS each working day. The exact figures will differ between organisations, but the principle remains the same.

Backup frequency determines how much of that activity is potentially exposed if the LMS has to be restored.

The Question Every Organisation Should Ask

There is no single backup frequency that is appropriate for every LMS. A small platform used occasionally may tolerate a larger gap between backups. A heavily used corporate LMS supporting hundreds of daily learners may not.

The important point is that backup frequency should not be selected simply because “daily backups are standard.” It should be examined in relation to how much activity takes place inside the LMS and how costly it would be to recreate that activity.

For policy makers, a useful question is therefore:

“If our LMS failed at the busiest point of the working day and we had to restore the latest backup, how many employee hours could disappear?”

If the answer is hundreds of hours, the current backup frequency deserves much closer attention. Because an LMS does not simply contain files and database records. It contains the accumulated work of employees who have spent real working hours learning, completing assessments and demonstrating their competence.

When that information is lost, the organisation is not merely losing data. It is losing employee time that has already been paid for.
